Woods • Peacock is looking for a talented person interested in being part of a small structural engineering firm. Opportunity to be the voice and face of Woods • Peacock for the public calling our office or entering our lobby. Work directly with management to maintain the behind-the-scenes tasks to allow the company to thrive.

Position:

  • Part-Time Office Administrator
  • 20 hours per week

Location:

  • Alexandria, VA
  • In Office

Responsibilities:

  • Receive, log, and pay vendor invoices through our accounting software (Ajera)
  • Prepare accounts payable (through bank EFT system)
  • Receive, open, log, and file and/or send USPS mail and FedEx packages
  • Prepare and send client/project invoices
  • Track and order/purchase office supplies
  • Update personnel records
  • Assist with and plan company events
  • Prepare on-boarding documents
  • Prepare insurance applications and maintain insurance records
  • Answer phone and front lobby door
  • Update and/or edit Microsoft Word and Excel documents
  • Maintain Woods • Peacock custom Microsoft Word templates
  • Replenish supplies

Required Qualifications:

  • Able to work freely in the US now and in the future without sponsorship
  • Degree Requirements:
    • 2-year degree in business or High School advanced accounting courses
  • Basic accounting knowledge
  • Experience with Accounts Payable and Receivable
  • Software Experience:
    • Microsoft Word
    • Microsoft Excel
    • Microsoft PowerPoint

Required Skills:

  • Ability to learn accounting software Deltek Ajera
  • Ability to learn how to use office equipment and machines
